Our AI Consulting Process

From the first demo call to live systems your team knows how to run. Here's what happens at each step.

Our AI consulting process is built around one idea: the engagement isn't done until the systems are live and your team can run them. Every step moves toward that, and nothing gets launched to customers before it's been tested.

Below is how a typical engagement unfolds, from demo to handoff. Scope and pace vary by business, but the sequence stays the same. Most of the build happens on the ClientPro.ai platform, so the team that plans the work also installs it.

The AI Consulting Process at a Glance

The process has three phases: understand, build, and hand off. Each phase has clear outputs, so you always know where things stand and what comes next.

You'll have a point of contact throughout, and we'll ask for a point person on your side. Keeping those two people in regular contact is the single biggest factor in how smoothly the work goes.

Phase One: Understand the Business

This phase is mostly conversation and review. Nothing is built yet, and you're not committed to anything beyond the scope you agree to.

  1. Free AI strategy call
We show you the platform, ask how your business runs, and talk through where AI might fit. There's no obligation, and the goal is to see whether working together makes sense. You can book a free AI strategy call any time.
  2. Discovery
We go deeper on your goals, your lead sources, your team, and the tools you already use.
  3. Assessment
We review phones, messaging, CRM, workflows, and privacy and consent considerations, as covered in our AI readiness assessment.
  4. Plan and scope
You receive a prioritized plan and a clear scope of what will be built, what's included, and what your team needs to provide.

Phase Two: Build and Test

During the build, you'll see drafts before anything is final. Scripts, message templates, and pipeline stages all get your review, because nobody knows how your business should sound better than you do.

  1. Configure core systems
We set up the CRM pipeline, AI Employee, missed-call text-back, webchat, and follow-up sequences included in scope.
  2. Write scripts with you
The AI Employee's greetings, answers, and handoff rules are drafted with your input so it sounds like your business and knows when to route to a person.
  3. Connect integrations
Calendars, phone numbers, forms, and payment tools are connected where supported, with any gaps explained.
  4. Test with real scenarios
We run realistic calls, texts, and form submissions, then fix anything that doesn't end the way you'd want.

Phase Three: Launch, Train, and Hand Off

Launching in stages makes problems easier to spot and gives your team time to get comfortable. It also means early wins show up before the bigger changes arrive, which helps adoption.

  1. Go live in stages
Systems usually launch one or a few at a time so your team isn't hit with every change on the same day.
  2. Train each role
Your team learns the parts they touch, with written SOPs to refer back to. Deeper skills are available through AI training for businesses.
  3. Document and assign owners
Every system gets a plain-English description and a named owner on your team.
  4. Review and tune
After launch we look at how things are performing and adjust scripts, automations, and routing based on what real customers do.

After Launch: Keeping Systems Useful

Businesses change. Services get added, prices shift, staff turn over, and seasons affect call volume. The systems need to keep up, so we agree during planning how ongoing support and changes will work.

For owners who want a standing partner, a fractional chief AI officer retainer covers regular reviews and roadmap planning. Others prefer to call when something comes up. Either way, you'll know who to contact.

As needs grow, the next step might be broader AI automation or AI agents that handle more complex work. The same process applies: understand, build, test, hand off.

Working With Us From Anywhere in South Carolina

We're based in Columbia at 1310 Harden St, and the process works the same for owners across the state because the build happens inside your accounts. Local pages for Columbia, Charleston, and Greenville cover what that looks like in each market.

Frequently asked questions

Is the demo really free?

Yes. The demo is a conversation and a look at the platform. There's no obligation to move forward.

Can we skip the assessment and go straight to building?

Sometimes. If the need is clear and simple, like adding missed-call text-back, we can move faster. For anything broader, the assessment prevents expensive rework.

How involved do I need to be as the owner?

Most involved at the start, during discovery and planning, and at key reviews. A point person on your team can handle much of the day-to-day coordination during the build.

What if something goes wrong after launch?

You'll have a clear contact and an agreed support arrangement. We'd rather hear about an issue early than have your team work around it.
